Overview

The Staff, Risk and Records Management position will support the Accounting group by focusing on aiding the Risk/Records Management Department. Due to company growth the Accounting department needs especially within records and risk management, additional assistance to onboard new property documents, update process procedures and work on implementing the digital records management and risk management insurance system tools. We are looking for an individual who is looking to be part of a team, an eagerness to learn and wants to grow with the team and organization.

Responsibilities

Records Management:

    Assist with the continued documentation and development of Records Management procedures.
  • Support implementation of new Digital Records Management ("DRM") system
    • Collaborate with team to on-board Phase II of DRM
    • Identify improvement opportunities in system
    • Preparation and integration of all historic documentation into new DRM platform
    • Assist in creating property groupings by transaction
    • Help in preparing training guidelines
      • Examples:
      • How to locate a deed, name change certificates, easements, etc.
      • How to understand transactional events by property and how to locate information relating to the event
  • Administration of Access Records Management
    • Oversee the digitalization of documents to ensure consistency, accuracy, and quality deliverables.
    • Maintenance of boxes in the Filebridge storage platform
      • Yearly review of boxes eligible for destruction
      • Review of invoices for timely payment
  • Assist in downloading/saving the closing files from Box.com from outside counsel
  • Research and manage status of outstanding closing documents from closing law firms
  • Gathering of property document requests for projects: Dispositions, Joint Ventures & Financing
  • Extracting of Title Exception Documents from Title Commitments
  • Creating post-closing indexes of documents received by property level to be uploaded into the new DRM platform
  • Research the status of recorded mortgage release documents

Risk Management

  • Implement new risk management system and perform administration duties
    • Upload additional locations
    • Add additional fields
    • Update missing property criteria
  • Help with annual insurance renewals
    • Work with external 3rd party insurance broker
    • Prepare statement of value changes for Manager's review
    • Support RMR organizational teams with providing trainings and updates on property/portfolio changes
  • Help with review of quarterly adjustments
    • Review of quarterly allocation spreadsheets
    • Tracking of Invoices to pay and refunds to premiums
  • Saving out of insurance policies and endorsements
  • Reviewing all paid premium letters
Qualifications
  • Bachelor's degree required.
  • Paralegal or related experience preferred.
  • Proficiency with Microsoft Excel, Word, SharePoint, and Risk Management Software preferred.
  • Excellent attention to detail, record keeping, and file management skills to organize, accurately document, and retrieve data.
  • Strong research and problem-solving skills with the ability to obtain information from a variety of sources.
  • Excellent organizational skills and ability to respond promptly to changing priorities and to complete several projects with competing deadlines.
  • Exceptional verbal and written communication skills are required.
  • Ability to work in a fast-paced, collaborative and results driven environment.
